Privacy Policy

Effective October 17, 2026

Peds Scout is an assistant you message on iMessage or Telegram, the account site at app.pedsscout.com and this website, operated by the Peds Scout team in Texas, USA. This policy says what Peds Scout collects about you, why, who else touches it and what you can do about it. It is written to be read; if anything in it is unclear, write to privacy@pedsscout.com.

What we collect

  • Your account. The email address you sign in with (we send a sign-in link to it), the name you give us, your timezone, and who invited you.
  • The chats you link. For iMessage, the phone number or email address you text from. For Telegram, your Telegram user id, username and display name.
  • Your conversations. The messages you send Peds Scout, its replies, the buttons you press and the reactions you leave, so that it can answer, so that we can help when something goes wrong, and to measure whether answers are right.
  • What Peds Scout remembers. Lasting things you tell it, such as your training stage, where you would work and what you are looking for, kept as a short profile and dated notes so it can tailor searches. It is built not to keep passwords or other secrets, payment details, or details that identify patients.
  • Watches, follows and preferences. The searches you save, the programs you follow, where alerts go, and whether you prefer a daily digest.
  • Email you send us. What you write to support@pedsscout.com or privacy@pedsscout.com, and the address you sent it from.
  • The waitlist. If you join the waitlist on this website, the email address you enter and the role you pick, if any. We keep them to write to you about the launch, and remove them when you ask.
  • Request logs. Like every web service, our hosting provider records the IP address, path and time of each request for a short time. We use those logs only to keep the service running and to investigate abuse.

What we do not collect

  • No analytics or tracking SDKs on this website or app.pedsscout.com. This website sets no cookies of its own; app.pedsscout.com sets one to keep you signed in.
  • No advertising, no advertising identifiers, and no tracking across other apps or sites.
  • Nothing from your contacts, photos, calendar or health data.
  • Please do not send patient information. Peds Scout is for your job search, not for clinical care.

How we use it

To run your account; to answer your questions, tailored by what Peds Scout remembers; to send the alerts and digests you asked for to the chat you chose; to answer you when you write to us, which can include reviewing your conversations to find a problem; and to keep the service secure. Your conversations are used in our own quality evaluations only if you turn on "Help improve Peds Scout" in your account, which is off by default. We do not sell personal information, and we do not use it for advertising.

Who we share it with

We share personal data only with the services that run Peds Scout, each for the purpose named here and nothing more:

  • Photon and Apple carry your messages if you use iMessage, and Telegram if you use Telegram. Their own privacy policies apply to your accounts with them.
  • OpenRouter and the AI model providers it routes to, such as Anthropic, receive your messages and the relevant part of what Peds Scout remembers, to write each answer.
  • Langfuse records each conversation turn so we can trace and fix problems.
  • Vercel and Neon for hosting and the database, in the United States.
  • Resend to deliver email from pedsscout.com (sign-in links, invites, replies) and to hold the waitlist as a contact list.
  • Cloudflare to check that the waitlist form was filled in by a person (Turnstile). It sees the request and your browser's signals, not what you typed.

The search service that reads hospital pages (Exa) receives queries about programs and openings, never your account details. We would disclose data if the law required it, and we would tell you unless the law forbade that too.

How long we keep it

Account data — your email, name, linked chats, watches, follows and preferences — is kept until you delete your account or ask us to remove it. Our log of your conversations is deleted after 90 days. What Peds Scout remembers is kept until you correct or delete it; things that only matter until a date are dropped after that date, and preferences untouched for a year are confirmed with you before they are used again. Email you send us is kept for as long as we need to resolve it. Request logs are kept for a short time by our hosting provider and then discarded.

If we close an account for abuse, we keep only its user id on a revocation list so that the same identity cannot sign in again; everything else goes.

Your choices

  • Delete your account in your account under Preferences, or by emailing privacy@pedsscout.com from the address on the account. Deletion removes your linked chats, watches, follows, preferences and everything Peds Scout remembers about you. Facts about hospitals and openings are not about you, and stay.
  • See, correct or pause memory. Ask Peds Scout what it remembers or tell it to forget something, or use the Memory section of your account to view, delete or pause it.
  • Choose how alerts reach you, or switch to a daily digest, in your account under Preferences.
  • See or correct what we hold. Email privacy@pedsscout.com and we will send you a copy of your data, or fix it, within 30 days.

Children

Peds Scout is for the clinicians who care for children, and it is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has created an account, email us and we will delete it.

Security

Everything between our sites, our servers and the messaging services travels over TLS. Chats with a Telegram bot are not end-to-end encrypted, so Telegram's servers can read them. Our database is encrypted at rest by the hosting provider. Access to production data is limited to the operator, and sign-in links and link codes are single-use and short-lived. No system is perfectly secure, and if a breach affected your data we would tell you.

Data sources

The directory itself is compiled from public hospital web pages and public job postings. It describes hospital programs and their openings, not individuals, and we do not build profiles of people from it. A hospital that wants a listing corrected can write to privacy@pedsscout.com.

Changes

When this policy changes, the new version is posted here with a new effective date. If a change matters to what we collect or share, Peds Scout will tell you in your chat.
